Task List

All tasks in WoundAlly are tied to visits—both completed and scheduled. As a result, the task list tool is not used in the Patients section. Instead, it is available in the Workflow and Payments sections, where each task is associated with a specific visit. For example, if a completed visit appears in the Progress Notes section, a corresponding entry with payment details will appear in the Payments section. Users of these sections will see the same list of tasks linked to the corresponding visit record.

Since different departments work in different sections, tasks can be set by specifying a specific department. In this case, other departments will not see this task.

Some good uses of the tool

  • Coordinating Interdepartmental Workflows: Tasks can be assigned to specific departments, ensuring clear accountability for each step in the workflow. For example, a billing-related task will be visible only to the Billing Department, streamlining operations.

  • Tracking Pending Actions for Visits: Tasks allow users to document and track pending actions, such as follow-ups or document submissions, ensuring no step in the visit process is overlooked.

  • Improving Accountability and Transparency: With the Assignee feature, specific tasks can be assigned to individuals, making it easy to track responsibility and follow up as needed.

  • Centralizing Task History: All changes, updates, and completions are recorded in the task card, providing a comprehensive history that can be referred to at any time.

If you just want to write down some information, use the Notes tool.

Indicators of the number of tasks

There are no tasks available for this visit, but they can be added by clicking on the three dots.

Adding and settings a task

To add a task, click on any icon in the Tasks column. The click will open a list of tasks in the panel on the right of the screen. Click on the red Add Task button.

When creating a task, the only required field is the Task Name. All other fields are optional.

Responsible Department

By selecting the Responsible Department from the drop-down list, you hide the added task for other departments. Each department from the drop-down list corresponds to a specific section. The correspondence table is presented below. When creating this setting, the WoundAlly team deliberately avoided section names, as users with limited access may not be familiar with the structure of the application.

Assignee

In the Assignee field, you can assign a task to a specific user. Other users will see the task, but the team will see the assignee in the task card. The selected user will receive a notification.

Red names in the drop-down list indicate to you that these users are not employees of the Responsible Departments and therefore do not have access to the sections in which the task you added will be displayed.

Completing the task

Marking a task Complete is an integral part of the workflow. After clicking the Mark Complete button, the task is moved to the Completed tab. A completed task can always be returned to the Backlog tab if needed.

The task card always shows the entire history of changes.

Notifications

You will receive a notification when a task you added is completed or when another user assigns a task to you. If the task mentioned in the notification is available in different sections, you will be offered a choice of section in which you can open the task.
